Now you will see the BDS SYSTEM SIGNON screen.

Figure B-1: BDS System Signon Screen

To access BDS, you are required to complete the SIGNON screen (See Fig. B-1, above). To properly complete this screen, you must have obtained authorization from the Budget Office. This can be done by preparing a memo to the Budget Office or by using the BDS Authorization Form located in this manual's Appendices .  The memo or form must be signed by your supervisor.  Either document should contain the following minimum information:

Also, you have the option to receive budget files to your personal computer via E-Mail. To use this feature, you must establish an E-Mail account (e.g. @tulane.edu) with Technology Services (TS).  To establish an E-Mail account, contact the Help Desk at 862-8888. Once you've established your account or have an existing account, send your E-Mail address to the Budget Office.

Upon receipt of your signed memo or form, the Budget Office will issue you a "temporary" PASSWORD for initial access to BDS. Your system identification number, in most cases, is your social security number.  The user id will be the last 3 characters of your system userid ( i.e. for FRSDXXX it will be XXX).

If you are signing on for the first time or the Budget Office reset your old PASSWORD, the system will prompt you to change your "temporary" PASSWORD to a "new" one before allowing you access.  Follow the instructions below exactly.  You may change your BDS PASSWORD by contacting the Budget Office.

To access BDS follow these instructions:

- Type your Employee SSN: (social security #) and

- Type your "temporary" PASSWORD and press ENTER/RETURN and

- Type your User ID: (those 3 characters).

Note: The system will prompt you to "ENTER NEW PASSWORD AND PRESS F9 KEY TO UPDATE." Your new PASSWORD may be any alphabet combination at least five(5) to eight(8) characters long. Your BDS PASSWORD will remain the same, unless you ask the Budget Office to reset your PASSWORD.

- Type your "new" personal PASSWORD (do not move the cursor from this point) and press F9.

Note: The system will prompt you to "REENTER PASSWORD AND PRESS F10 KEY TO CONFIRM PASSWORD." (The system wants you to confirm your new personal PASSWORD and asks you to reenter your personal PASSWORD again, exactly the way you entered it the first time.)

- Type your "new" personal PASSWORD again (do not move the cursor from this point) and press F10.

The BDS MAIN MENU screen (See Fig. B-2, below) will appear after you've been authorized access to BDS. Your Employee SSN, User ID and PASSWORD must be in the BDS SECURITY TABLE before your signon attempt will be successful.

Your system access is confirmed in the following ways:

If your Employee SSN is not found, the screen will display this message: "ID/PASSWORD NOT FOUND IN SECURITY TABLES" and BDS access will be denied.

If your User ID is not found, the screen will display this message: "YOU HAVE NO DBA AUTH ACCESS - CONTACT BUDGET OFFICE FOR ACCESS" and BDS access will be denied.

If your BDS PASSWORD does not match the SECURITY TABLES, the screen will display this message: "PASSWORD DOES NOT MATCH - REENTER AND PRESS ENTER KEY."   Access to BDS will be denied until the Employee SSN, User ID and PASSWORD you entered match the SECURITY TABLES.

Note: If you encounter these problems, please contact the Budget Office at 865-5353 (off campus) and/or extension #5353 (on campus) for assistance.
