Editions and Printings:  Editing Records

Part II.E.

Multivolume titles

(See also Part I.G, on matching for multivolume titles)

Basic rule:  The bibliographic record should reflect significant changes that occur between the first volume of a multivolume set and the remaining volumes of the set when the decision has been made to combine books with variant information in the following areas:  editor, edition statement, place, publisher, date, physical description, and series.  If the information is already in the bibliographic record, do not worry about how it is presented.  If the information needs to be added, use the following formats.  In general, if a Contents note is used, use that field to reflect the variant information.

245 $c Editor statement 260 $c Date
250 Edition statement 300 Physical description
260 $a-$b Place of publication/Publisher name 4xx Series

  4. Date  (Cf. Part I.G.1, section on matching based on date in multivolume records.)

If we have a fuller set of volumes than is reflected in the record, the record should be edited in the three cases listed below to match the publication dates of the pieces that we have.  The 260 $c subfield, the call number date, and the fixed field date(s) should be consistent.  It is not necessary to add a note to reflect that volumes have not been published in numerical order.

If we have fewer volumes than are reflected in the record, the 260 $c subfield does not need to be edited.

  5. Physical description  (Cf. Part I.G.2, section on matching based on physical description in multivolume records.)

Return to top of this document

  6. Series  (Cf. Part I.G.3, section on matching based on series in multivolume records.)

In general, prefer using series fields to reflect the variant information.  However, if the inputting library put the variant information in a 500 field, you may continue to update that field.
