Notes on Multivolume Monograph Cataloguing

Introduction

These introductory notes on the treatment of multivolume monographic titles primarily apply to copy cataloguing where the bib record is concerned.  For holdings and item records, the information applies to original cataloguing, as well.

The basic distinction between multivolume monographs and analyzed series is that with multivolume monographs, all volumes are in one bib record.  (For additional introductory information on analyzed series, see "Notes on Series Treatment in Cataloguing.")

Possibilities for multivolume publication

  1. Complete; all volumes have been published in the same year

  2. Complete; all volumes have been published, over multiple years

  3. Incomplete:  more volumes are planned but have not yet been published

Possibilities for our holdings of the multivolume publication in comparison with existing copy

Bib record

Check all volumes; the main source of information should be the first v. (or first available v.).  If later volumes have differences, record when possible in a 505 contents note.  If differences cannot be accommodated in the 505 note, see Olga or your trainer.

When DLC has information in angle brackets (e.g., <1>), delete information and brackets.

Marking volumes

Include appropriate volume number in each call number:   below call number proper (generally after date), above any location designation.

E.g.      852  0 0  $b lal $h TP 559 .C5 $i H47 1992
  866  4 0  $8 0 $a t. 3

Use appropriate caption abbreviations.  See list in "Volume Caption Abbreviations."   If a specific designation is not given in the piece, use “v.” (with no brackets around this designation).

MARC holdings record

Use one holdings record for each copy (not for each volume).

current standard as to exact format)
$8 "link and sequence number" (don’t worry about)

852:
The 852 2nd indicator 2, for alternative enumeration, is used in monographic cataloguing for multivolume monographs in a classed-together, all-in-one-call-number series

Please note that in a set published over multiple years, every volume will include the date of the first volume in its call number, not necessarily the date of that volume.

866:

Use appropriate caption abbreviations.  See list in "Volume Caption Abbreviations."  If a specific designation is not given in the piece, use “v.” (with no brackets around this designation).

Record only volume numbers that we actually have; they may or may not be the same as the volumes listed in the bib record.

For the format of the 866 field, see the punctuation list and examples in “MARC Holdings Records:  866 field.”

For multivolume monographs in a classed-together, all-in-one-call-number series, both the set volume numbers and series volume numbers are included in the 866.

E.g.      All-in-one-call number set (alternative enumeration):

852 02 ... |h M 2 |i .R378 |i Vol. 36,38
866 ... v. 1 <Vol. 36 of Researches in New Orleans music>
866 ... v. 2 <Vol. 38>

In this situation, the volume number in the 852 call number, in the item record Enum field, and on the spine should reflect the series volume number.

(For further information about creating and editing Voyager holdings records, see "MARC Holdings Records.")

Item record

Create a separate item record for each volume, all attached to the appropriate holdings record.

Generally try to barcode items in sequential order by volume number and to create item records in order.

Statistics

948 $e: Give the total number of volumes.

Please note that while it is good to think about the 948 $e for each multivolume title, it may end up staying at the default of “1” -- if you only have one volume of a multivolume set.

(For further information about filling in Voyager statistics fields, see "Voyager Cataloguing Statistics:  948 Field.")
